What we have found is an office should use a billing service for these for reasons... Reason #1 You are opening up a new office and aren't quite ready to invest in software: We see a lot of start up offices choose to bring on a billing service to take care of the billing for them, as Practice Management Software can be costly. This allows you to take care of your new business and work on expansion. Reason #2 You have lost your billing staff: Life happens, people start families, get new opportunities or just move on. Now you are faced with hiring a new employee, hiring a new employee and that is expensive. There is time spent on training, new salary, and potentially the new software they prefer for billing. Then what if this new person doesn't work out? You are back to the beginning and your billing department is suffering in the meantime while the expenses keep piling up. Reason #3 Something just doesn't seem right: Do you feel like you are billing out considerably more than you are collecting or just feel you should be collecting more, something just isn't right? There could be a wide array of reasons for this: Poor follow-up, carelessness, inaccurate tracking or possibly even something dishonest is going on. If you are feeling this way, don't ignore it. Call me and we can find out if it's something we can help you with. Reason #4 Your business is doing well and you are ready for growth: If this is the case, congratulations! Business is going well, you are seeing a great amount of patients, but you want to to expand and are not sure what the next step is. Here is where we come in. A billing service can free up time and act as a "partial employee", and now your dedicated employee can focus on those actions you need to bring your business to the next level. Moreover, a billing service will help bring more solidity to your current situation so you do not fall victim to the first 2 reasons above! If you are in any of the above scenarios or just need help, do not hesitate to contact us. At no charge to you, we will discuss your practice and options of how we can be of help. It's always the perfect time to tackle to your unpaid claims as there could be some money left on the table to collect. Check out these three places I mention below to find those unpaid claims.
1.) Denials from the Clearing House. In your clearinghouse there will be an area where unprocessed claims are just hanging out collecting "dust" instead of MONEY. These claims were not processed due to errors. Go back as far as you can on these claims and start fixing them. An over-burdened billing department often misses these or doesn't realize to look out for them. REMEMBER: Claims that get stopped at this point never arrived to the insurance company and are subject to the Timely Filing Deadline so you want to get them fixed and filed as soon as possible. 2.) Next check your EOB's and ERAs. Keep an eye out for EOB's that have not been entered or set aside for follow-up and then forgotten. Hopefully there will be some denials that can be corrected, re-submitted and get paid. Additionally, many times we see ERAs that are automatically entered in, leaving services getting written off when they could've been corrected and re-submitted. 3. Now I want you to take a look at your Accounts Receivable Report. Get on the phone and start tackling those unpaid claims. Chase chase chase them up! If you hear that they "never received" some of these claims, then NO PROBLEM you can just re-submit those and be on your way to (most-likely) getting a payment. For the portion that just didn't get paid, you'll have to gather more information on why they didn't pay out, correct and re-submit as applicable. In many offices there are outstanding claims to be collected on in some way. These tips should really help you with that.
